Why I Switched from Sprout Studio to 17Hats | OMOS Photography

Running a photography business is more than showing up with a camera and taking pretty pictures.

That’s the part people see.

What they don’t always see is the emails, invoices, contracts, questionnaires, timelines, reminders, client communication, booking forms, payment schedules, and all the little pieces that have to happen before and after a session or wedding day.

And if those pieces are messy behind the scenes, the client experience feels messy too.

That’s one of the biggest reasons I’ve always cared about having a solid CRM for OMOS Photography. I need my systems to help me stay organized, follow up better, and give my clients a smooth experience from the first inquiry all the way to gallery delivery.

For a while, I used Sprout Studio.

And let me say this clearly: Sprout Studio is not a bad platform.

Actually, it does a lot. It’s made with photographers in mind, and it has a lot of tools built into one place — client management, invoices, contracts, galleries, questionnaires, scheduling, and more.

So this is not one of those “this platform is trash” blog posts.

That’s not my style.

This is more of a “my business changed, and I needed my system to change with it” kind of post.

Why I Started Looking for Something Different

As OMOS Photography has grown, I’ve had to get a lot more intentional about the way I run things.

Weddings, engagement sessions, branding sessions, family sessions, corporate events, photo booth bookings — they all have different needs. And I don’t want to treat every client like they’re going through the exact same process.

A wedding client needs a much deeper workflow.

A headshot client needs something quick and clear.

A corporate event client may need contracts, invoices, timelines, and multiple decision-makers involved.

A mini session client needs a simple booking flow that doesn’t require a bunch of back-and-forth.

So the more I looked at my business, the more I realized I didn’t just need an “all-in-one” platform.

I needed a CRM that helped me build better systems.

That’s where 17hats started making more sense for me.

What I Like About 17hats So Far

The biggest thing I like about 17hats is how it helps me organize the client journey.

I can build workflows around the actual way I work.

That matters.

For me, it’s not just about sending an invoice or getting a contract signed. It’s about making sure every client gets the right message at the right time.

I want the bride who just booked her wedding to feel taken care of.

I want the business owner booking headshots to know exactly what happens next.

I want the family booking a session to feel like the process is easy and not overwhelming.

I want fewer things living in my head.

Because let’s be honest — trying to remember every follow-up manually is how things slip through the cracks. And I’m not building a luxury client experience off memory and vibes.

17hats gives me a cleaner way to manage leads, projects, contracts, invoices, questionnaires, online booking, and workflows in a way that fits how I want OMOS Photography to run now.

Why I Didn’t Need One Platform to Do Everything

This was probably the biggest mindset shift for me.

For a long time, I thought the best system was the one that could do everything.

CRM, galleries, emails, booking, invoices, contracts, marketing — all of it.

But now I don’t really believe that anymore.

I don’t need one platform to do everything.

I need the right tools doing the right jobs.

For example, I’m using Squarespace Campaigns for my email marketing list. That makes more sense for marketing emails, newsletters, promotions, and staying connected with past clients.

17hats is becoming more of my client management and booking system.

That separation feels cleaner to me.

My CRM doesn’t have to be my email marketing platform.

My gallery system doesn’t have to be my CRM.

My booking workflow just needs to be solid, professional, and easy for clients to move through.

That’s the goal.

Sprout Studio Was Good — But 17hats Fits This Season Better

I want to be fair here.

Sprout Studio has a lot going for it, especially for photographers who want their CRM, galleries, and studio tools under one roof.

But for where I am right now, 17hats feels like the better fit.

I’m rebuilding my systems with more intention.

I’m cleaning up my workflows.

I’m thinking more about automation, better follow-ups, smoother booking, and making sure every client knows exactly what’s happening next.

The switch is less about leaving something “bad” and more about choosing something that matches how I want to operate going forward.

And honestly, that’s something every business owner has to pay attention to.

The tool that worked for you two years ago may not be the tool that fits your business today.

That doesn’t mean you made the wrong choice before.

It just means your business grew.

What This Means for OMOS Photography Clients

For my clients, this switch is really about making the experience smoother.

That means better communication, easier access to documents, cleaner booking steps, and a more organized process from beginning to end.

You may not know what CRM I’m using behind the scenes — and honestly, you shouldn’t have to care.

You should just feel like things are easy.

You should know where to sign, where to pay, what to complete, and what happens next.

That’s the whole point.

A good system should make the client experience feel calm, not complicated.

Should Other Photographers Try 17hats?

I’ll say it like this:

If you’re a photographer who feels like your follow-ups are all over the place, your booking process has too many manual steps, or you’re tired of trying to remember every little task yourself, 17hats is worth looking into.

It may not be for everybody.

No CRM is.

But if you want better workflows, stronger organization, and a system that helps you manage the business side of photography with less chaos, it could be a good fit.

Switching CRMs is not fun.

Let’s just be honest.

It takes time, patience, and a lot of “why did I name this template like this?” moments.

But sometimes cleaning up the backend of your business is exactly what allows you to serve people better on the front end.

That’s where I am right now with OMOS Photography.

I’m not just trying to take better photos.

I’m trying to build a better experience.

And sometimes that starts with the boring stuff nobody sees.

Contracts. Emails. Workflows. Booking forms. Follow-ups.

That’s not the glamorous side of photography, but it’s the side that keeps the business strong.

And strong systems give me more freedom to do what I actually love:

show up, serve my clients well, and create images they’ll be able to relive for years.
